Privacy Policy
This policy explains how Snip Studio processes personal data – on this website and when we contact podcasters about our clipping service. It applies under the EU General Data Protection Regulation (GDPR).
1. Controller
PromptLab – Simon Marko Johan (Snip Studio)
Magnus-Niedermair-Str. 11, 89407 Dillingen an der Donau, Germany
Email: hello@thesnipstudio.com
2. Reaching out to podcasters
We offer short-form clips to podcast hosts. To find shows that may be interested, we collect a small amount of publicly available business information:
- Sources: public podcast RSS feeds, public podcast directories (e.g. Apple Podcasts, Podcast Index), the podcast's own public website, and public YouTube channel data via the official YouTube Data API.
- Data: podcast name, host first name (if publicly stated), the public Instagram handle and/or the contact email published in the podcast feed, title and date of the latest episode, the public audio of that episode (to find a fitting moment), and public YouTube channel figures (subscribers, recent videos).
- Purpose: to contact you once with a relevant, personal offer for your show, and – if you reply – to continue the conversation, prepare free sample clips and schedule a call.
- Legal basis: Art. 6(1)(f) GDPR. Our legitimate interest is offering a relevant business service to podcasters who publish their content and contact details publicly.
- Channels: Instagram direct messages or email. Every message tells you how to opt out.
3. Website and free-clip requests
If you request free clips through our form, we process your podcast link and email address to create and send the clips and follow up about them (Art. 6(1)(b) GDPR – steps prior to a contract at your request; and Art. 6(1)(f) GDPR).
When you visit this website, our server processes your IP address and request data so the site can be delivered and protected against abuse. We do not use cookies, analytics tools or third-party trackers. We only count page views per page and day, without any personal data.
Our web server keeps technical access logs (IP address, time, requested page, browser) for up to 14 days for security reasons, then deletes them (Art. 6(1)(f) GDPR).
Sample pages (private links with your free clips) count how often they are opened, so we know whether you had a chance to look at the clips.
If you book a call, the booking is handled by Google Calendar appointment scheduling (Google Ireland Ltd.); Google processes the name, email and time you enter.
3a. Clients
If you become a client, we process your contact and billing data and the episodes you upload to create, deliver and revise your clips (Art. 6(1)(b) GDPR). Your episodes may contain personal data of you and your guests; we use them only to produce your clips. Uploaded original files are deleted 30 days after upload, finished clips 90 days after delivery – please download them in time.
4. Recipients and processors
- Our hosting provider Contabo GmbH, Germany (servers in the EU on which this website, our database and clip production run).
- Instagram (Meta Platforms) when we message you there; a browser-profile and proxy service (GoLogin) through which we operate our Instagram account.
- Our email providers when we email you (incl. email forwarding by Namecheap, Inc., USA).
- A text-processing service provider (Anthropic PBC, USA) that helps us draft and sort messages based on the public podcast data above and select moments from episode transcripts.
- Telegram (Telegram Messenger Inc.), which we use internally to be notified about replies and to approve answers; this includes your handle and message text.
- Google (YouTube Data API) for public channel figures and Google Calendar for call bookings.
- For clients: our payment provider (Stripe) when you pay online.
Where data is processed outside the EU/EEA (e.g. in the USA), this is based on an adequacy decision (EU-U.S. Data Privacy Framework) where the provider is certified, or on the EU Standard Contractual Clauses.
5. How long we keep data
- Podcasts we found but did not contact are deleted automatically 30 days after we collected the data.
- If we contacted you, we keep the data for as long as the conversation is ongoing or you are a client. You can ask us to delete it at any time.
- Sample clip pages and their videos are deleted 60 days after they were created.
- If you opt out, we keep only a one-way hash of your handle or email address, permanently, so we never contact you again. The hash cannot be turned back into your contact details.
- Client and invoice data is kept as long as required by tax and commercial law.
6. Your rights
You have the right to access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18) and data portability (Art. 20). You also have the right to lodge a complaint with a data protection supervisory authority, e.g. the one responsible for us: Bayerisches Landesamt für Datenschutzaufsicht (BayLDA), Ansbach, Germany.
We do not use automated decision-making within the meaning of Art. 22 GDPR.
7. Right to object
You can object to the processing of your data for outreach at any time (Art. 21 GDPR). Just reply “STOP” to any message, use the unsubscribe link in our emails, or write to hello@thesnipstudio.com. We stop immediately and across all channels.
